Hamilton- Administrative Assistant 

Essential Duties and Responsibilities:

  • Greets the public, answers phones, takes messages and routes calls.

  • Answers correspondence on routine questions concerning programs, and routes correspondence to appropriate person.

  • Participates in staff meetings, attends other meetings and seminars.

  • Collects and distributes incoming mail, posts all outgoing mail, signs for incoming packages, and prepares package returns.

  • Purchases supplies with approval and prepares vendor claims.

  • Facilitates the maintenance and care of office equipment.

  • Facilitates the maintenance and care of company vehicles.

  • Facilitates the maintenance and care of work room and waiting area.

  • Enters data and maintains multiple tracking systems.

  • Program Manager task support; scholastic, claim forms, meeting assistance, and other tasks as needed.

  • Classroom and transportation support

Education & Experience:

Qualifications include high school diploma or equivalent, and a minimum of two years of related office work experience preferred. Position requires a valid Montana driver's license, along with an acceptable driving record and proof of auto insurance in compliance with Montana State law.

Working Relationships:

  • Supervised by the Human Resources and Administrative Manager.

  • Works closely with the Executive Director, Fiscal Officer, Program Managers, parents, the general public and staff.

  • Has frequent contact with members of the Board of Directors, Policy Council, and Vendors.

Physical Demands & Working Conditions:

While performing the duties of the job, employees are regularly required to sit, walk and stand; talk and hear in person, by phone or other electronic means; use hands repetitively to handle, feel or operate standard office equipment, reach with hands and arms; and lift up to 50 pounds. A typical workday involving sitting, standing, frequent use of a keyboard, reaching with hands, arms, and talking and hearing. Normal vision abilities required, including close vision and ability to adjust focus. Work is indoors in an office environment with moderate noise. Some travel is required.

Pay: $12.28 per hour
